Xplan HQ is our new centralised workspace that brings your tasks, events, client reviews and milestones into one action-oriented view, so nothing important slips through. It gives you a clearer starting point for the day, helping you see what needs attention and move into action with less navigation.
What you need, when you need it.
See your schedule, manage tasks, track key milestones, and surface the opportunities and risks that need your attention.
We’re introducing a new action-orientated dashboard experience designed to help you move from searching for information to acting on what matters. It brings relevant insights, priorities and actions into one central workspace, so you can manage your day with less navigation. In addition, there is a new task hub experience providing a more efficient task management function.
The new dashboard experience is designed to help you:
- See your priorities sooner
- Find important client activity in one place
- Move from an insight to an action with fewer steps
- Keep working in context, without unnecessary navigation
This is the first step towards a workspace that helps you prioritise and act with confidence.
Xplan HQ · Overview: Start with what needs your attention
Xplan HQ · Overview gives you a concise view of your workload, helping you understand what needs attention and decide where to focus first.
Task Metrics provides an at-a-glance view of outstanding tasks, task by type, assigned tasks and unassigned tasks. This makes it easier to understand your workload and decide where to focus first.
Your personal workspace brings together upcoming appointments and tasks in one place. You’ll be able to view appointments across time periods such as today, the next seven days, the next two weeks or the month ahead.
Tasks are prioritised by due date, with key information such as the client, task name, due date, priority and status available at a glance. This helps you quickly see what is due and take action without opening multiple areas of Xplan, helping reduce delays to client follow-up.
From the widget, you’ll be able to open task details, use available actions, and go to Task Hub when you need the full list.
Use adviser filters to view task summaries and client insights for your own clients, all client advisers or selected advisers. You can focus on your own work, understand team priorities or support practice-level follow ups, helping your team provide a more coordinated client experience.
Client Insights: turn client activity into your next action
Client Insights brings available insight widgets together in one area, so you can spend less time searching for information and more time responding to client needs and opportunities.
Planned insights include visibility into:
- Upcoming reviews: so you can prepare for meetings scheduled in the next 30 days and make client conversations more relevant.
- Incomplete reviews: so overdue reviews are easier to identify, review and complete.
- Recently completed fact finds: so you can keep track of client submissions that have been made through Client Portal and respond to them sooner.
- Upcoming and overdue fee arrangements: so you can identify follow-up needs and ensure agreements remain in place.
- Upcoming Birthdays: so you can keep track of client birthdays to support more personal client engagement.
Each insight is designed to take you from information to action, helping you identify timely follow-up opportunities rather than simply view activity. This supports more proactive client service and better prepared client conversations.
Depending on the widget, you’ll be able to open a detailed view, review the underlying record, and complete a relevant action without losing your place in the dashboard.
In Client Insights, you can choose which widgets appear and reorder them to suit your focus. Your layout preferences are remembered when you return.
New Task Hub experience
To further support Xplan HQ, the Xplan Task Hub is being enhanced to give advisers and practice teams a clearer view of their work and more efficient ways to act on it. The changes bring task lists, filters, search, task details and bulk actions into a more consistent experience across both Task Hub and the HQ workspace. This helps you spend less time searching and maintaining tasks, and more time completing the work that needs attention.
What’s changing
The updated experience helps you:
- Find the right tasks quickly using richer filters and search
- See more of the information that matters in the task list
- Update tasks directly from the list without opening each record
- Open task details to manage comments, checklists, attachments and email
- Perform bulk actions multiple tasks
- Export task lists into csv format
The information you need, at a glance
The task list introduces a richer default column set, including Subject, Type, Subtype, Workflow, Due Date, Priority, Entity, Adviser, Revenue, Assignee, Status and Last Updated.
You can add further columns where available, and your column visibility and order are designed to persist between sessions.
Update tasks without leaving the list
For supported fields, you can edit a task directly in the list. Status, Priority, Assignee and Date can be changed through inline controls, with the update applied to the selected record without reloading the whole modal.
A contextual menu provides quick access to common actions, including:
- View or edit the task
- Add a comment
- View the checklist or attachments
- Open the task in Classic
Select multiple tasks to use bulk actions such as modifying Status, Priority, Due Date, Assignee or User Group. You can also delete selected tasks or export them to CSV, where supported, for background processing and access through notifications. Tasks that require per-task outcomes or automated-action input cannot be bulk-completed until those inputs are provided.
The task detail view brings related actions closer to the record. From the detail view, you can add comments, add checklist items with due dates, upload attachments and send an email using Quick Email. Completing a task that requires an outcome can also prompt you to enter the outcome, forecast revenue and time taken.
A more consistent experience across Xplan
The same task list and task detail patterns are intended to support HQ Workspace, Task Hub and Client Tasks. When you link out to Task Hub from a task modal, it opens in List view, and your personal column configuration persists across sessions. Existing user capabilities continue to control which actions are available.
Together, these changes make Task Hub easier to scan, search and maintain, while reducing the number of steps needed to move from identifying a task to completing the work and recording the outcome.

What you need to know
Progressive rollout
The new HQ Workspace will be rolled out progressively from November, on a site-by-site basis rather than through a single release.
This approach gives us the opportunity to:
- Introduce the change to controlled site cohorts
- Monitor outcomes as each cohort progresses
- Use feedback and learnings to refine the experience before expanding the rollout
Pre-requisites
To get access to Xplan HQ, your site will require the recently released New Navigation & Notifications features which are in the process of being progressively rolled out.
