Did you know you can use the note tagging feature in Xplan to build a functional archive system that removes historical clutter from a client's note page?
Why? Over several years, a client's file accumulates hundreds of automated email logs, system notifications and old task records. This volume of data makes it difficult for advisers to find recent, important files.
How it works:
- Step 1: Have your admin add an "Archived" tag to the Note group in Field Definitions.
- Step 2: On your client notes screen, filter out this tag using the Exclude Tags option, then save this as your default view.
- Step 3: Create a separate saved search with the "Archived" tag selected whenever you need to dig up old records.
🔥 Level Up: Ask your admin to configure a Filter View for the Xplan notes element. This splits your interface into distinct sections so active and archived notes never mix.
