Xplan Essentials (UK) - help your colleagues resolve common user admin tasks

Overview

We are always looking for ways to make things easier for our Essentials users, and this article will outline how you can perform some basic user administration tasks for other members of your organisation. Here, we'll explain how you can reset a users’ password, how to unlock a locked out account

Pre-requisites

 

This guide only applies to our Essentials clients, namely those users on these Xplan sites:

 

  • ThreeSixty
  • XplanCentral
  • XplanCentral1
  • XplanCentral2
  • XplanCentral3

 

Password Resets

You will be able to reset the password for a person who is in your firm by following the steps listed below.


Password Requirements


Xplan has resilient password requirements that are defined by a special set of rules - used by suppliers such as Dropbox.

Passwords should be difficult to guess and be at least 8 characters. You will be advised by Xplan if the password you've chosen isn't strong enough. Best practice is no longer as simple as ensuring it includes upper and lowercase characters with numbers and symbols.


A password like Password123! meets all of these criteria but is still easy to guess.

 

Password Reset Process


In the Search block in the top right, Select Users from the entity list, and type in the name of the user whose password needs to be reset, and select the user from the drop-down list.

Open the user menu, and select Access from the side bar

Press Edit, and you will be able to change items on the Access page.
Change the ‘Change Password’ drop down box from ‘No’ to ‘Yes’

That will open the password boxes. Type in the new password, and confirm it. Click Save, and the password will be set.

Please note, the user will be prompted to change their password on their next successful login.

Please also check that your browser has not auto-filled an expiry date, as this will cause the user to lose all ability to log into Xplan and will need to have their user reset!

 

Unlocking a User Account


In the Search block in the top right, Select Users from the entity list, and type in the name of the user whose account needs to be unlocked, and select the user from the drop-down list.

Open the User menu, and select Access from the side bar

Press Edit, and you will be able to change items on the Access page.
Select the Release button from the Account Denial section

The account is now unlocked, and the user should be able to log in.

Frequently asked questions

 

I can see an expiry date field against the user account - can I just set that to terminate a colleague's access?

 

We strongly discourage this practice as if someone has left your business, your account management team should be informed first of all, so that they can ensure your billing is correctly updated.  There's no way currently of us preventing you from setting an expiry date, so we'll be monitoring this retrospectively.  We will shortly be making it really easy for you to request that a user is terminated properly.
