Managed Field Content examples for Letters of Authority (LOA)

Overview

The purpose of this document is to help you create Managed Field Content for Letters of Authority (LOA) to be used in the Letter Generator.

The examples provided will allow you to create bespoke templates that can easily be dropped into the Letter Generator to create LOAs from either the adviser, or on behalf of the client, directly to suppliers.  The policy is selected from the drop-down list and will display as the subject of the letter making it an efficient way to generate LOAs.

Pre-requisites

All our examples have been created in Calibri font, size 10, colour black.

If this font does not match your firm's chosen style then you will need to update the font style, size and colour in the Managed Field Content editor page. 

Details are provided below in the section Pasting Text > Edit the newly created template **

Setup Guide

 

Create the managed field content

 

  • Navigate to Admin > Interface > Managed Field Content.
  • Scroll down and select [Letter wizard] ContentRichtext

  • Scroll further down the page to the Template Values panel

  • Click on the Add button (top right)
  • Update the following fields:
    • Name                                 LOA client2supp info (or your choice of wording)
    • Permission                       Share with groups
    • Owner Edit Only               Yes / No
    • Category                           Who is the letter addressed to*
    • Option                               Suppliers

 

TIP: Adding the Category and Option will ensure this text is only visible when the letter is being sent to a supplier.

 

Pasting text

 

  • In the Template Value panel click on the Source button
  • Copy the text from one of the relevant examples in the attached Word document
  • Paste into the body of the Template Value
  • Click on the Source button again
  • Save
  • Edit the newly created template:**
    • Replace the red text with your firm’s details
    • Change any wording to match your firm’s style
    • Set the font, size and colour to match your firm’s branding.  Even though the letter is sent from the client to the supplier, it is generated via Xplan and still needs to match the branding you have already created to be consistent with other section of the letter (address, salutation etc).
  • Save

Troubleshooting / FAQs

 

How do I change the font style, size or colour in managed field content?

Changes to fonts must be made in the managed field content editor and saved. Refer to Pasting text > Edit the newly created template **

 

Why doesn't the managed field content match my smart styling?

The managed field content is created in rich text which cannot be updated with smart styling.  For this reason you need to save the text in the correct font style, size and colour to match your smart styling.
