• The system now guarantees the signature always matches the sender based on the chosen 'From address'
• It ensures consistency across your communications

How It Works Now

Signatures are now dynamically appended at the time of send, not when you're drafting the email. This applies to personal, site, and group signatures.

• Signatures are no longer inserted into the content when creating an email, SMS, or selecting a template.
• The correct signature is appended based on the selected 'From address' when the email is sent.
• Editing a pre-loaded signature before sending is no longer an option.
• For bulk emails, when previewing, the signature shown is determined using the first client.
• The sender’s signature is no longer included in the message for notifications or acknowledgements.

This updated signature handling applies to: Scheduled Email Tasks, Single Email, Email to All, Campaigns, Portfolio Positions, and Diary.

💡Pro Tip ?

If you frequently use the 'Override From Address' feature, perhaps covering for a colleague or sending on behalf of a different adviser, this update is a massive win! It eliminates the risk of human error in manually adjusting signatures, making your compliance team very happy.

Policy search is specifically designed to search across existing insurance policies - it enables targeted searches that would be difficult to achieve with regular advanced search criteria. 

Ever wanted to segment clients based on policy attributes such as the type of cover, renewal dates, annual premium or product provider? Policy search enables you to tailor communications and service offers to clients meeting specific criteria, improving client engagement and service delivery.

Select Admin from the left-hand navigation menu then choose Business > Policy search and select from the comprehensive criteria options.

You can save criteria to use again or choose bulk actions to email the policy owner or life insured or merge the details into a Xmerge report.

What would you use this feature for? Would it help you target clients for review? Share specific updates on product or industry changes? Engage clients with or without certain policy features in educational campaigns? I'd love to hear from you.

A new Edit button has been added next to each existing insurance policy in the scenario. Once clicked, you are redirected to the Client Focus > Existing Insurance section, where you can make the necessary changes.

Upon saving the edited policy, you will automatically be taken back to your scenario page, and all policies marked as "not considered" will be refreshed with the updated details.

A small change on our end that will help make a huge difference to the quality of your data on your end!

Using Notes effectively isn't just about capturing the note. It's about making it findable for you and your team in the future.

Here is the 3-layer system to master your file notes:

Layer 1: Type & Subtype (The Filing Cabinet)

This is your primary, structured classification. Think of it as the mandatory filing system for your entire practice.

• Type: The high-level category (e.g., Advice Document, Meeting, Call, Email).
• Subtype: The specific item within that category (e.g., SoA, RoA, Initial meeting, Review meeting, Adhoc meeting, Enquiry).

Your practice should have a clear, consistent structure for these. But this rigid structure can't capture everything. What about the context of the note?

Layer 2: Tags (The Flexible Search Filter)

If Type/Subtype is the "filing cabinet," Tags are the flexible, adhoc "hashtags" you stick on the file.

Tags are not meant to replace your Type or Subtype. You wouldn't create a Tag called "Review" if that's already a Subtype.

Instead, Tags should capture the context or topic that the rigid structure doesn't.

How It Works:

When creating your note, you still select your Type and Subtype as normal. Then, in the 'Tags' field, you add your labels. Unlike Subtypes, you can add multiple tags to a single note.

Tags must be setup in the Note|Tags field definition by your system administrator.  Some examples might be; Super, Investment, Insurance, Draft, Needs review, Final

Why do it?

Your Type and Subtype might be Meeting and Review, but the Tags Super and Investment tell the story of that meeting. Now, you can filter all notes for any client that has the Super tag, regardless of whether it was an email, a call, or a review meeting.

Layer 3: Pinning (The "Must-Read" Thumbtack)

This final layer is for visibility. You've classified your note (Type/Subtype) and made it relatable (Tags), but what about that one note that is more important than all the rest?

That's where Pinning comes in.

How It Works:

On the client's 'Notes' page, find the critical note and click the 'Pin' icon (it looks like a thumbtack). This immediately replicates that note to a separate "Pinned" section at the very top of the list, where it will stay until it's unpinned.

💡 The Pro-Workflow: Using All Three

Here is how you combine them for a perfectly managed client file:

Scenario: A paraplanner has just finished drafting strategy notes for an upcoming client SOA.

1. Type/Subtype: They select Advice Document and SoA. (The what)
2. Tags: They add the tags Draft, Needs Review and Super (The context)
3. Pinning: They Pin this note as it is the most important right now.  This note may be superseded in the future and then you would unpin this note.

Stop scrolling and start structuring. Using these three layers together saves time and makes your team more efficient.

Yep, sometimes it is the little things that make a difference. While string fields have always been resizable, viewing a long list of multiple-choice options previously required scrolling.

With this latest update, simply drag to expand the field to view more, or even all, of your options at once! ?

If you ever need to do something in bulk for a list of clients, like adding a file note or task for example, then this hint will certainly take the tedium out of your day!

On the client list screen (you can filter these via Advanced Search or any of the standard filters), just click on the downward action button next to any client:

That’s right, you don't need to click through pages to update fields, then come back to the task to mark it as done - simply complete the task and have it update the fields for you!

Imagine you have a process where every new prospect is asked to log in to the portal and complete some simple details about themselves - full name, date of birth, maybe employment details, outline their goals, and tell you a little about why they want to see you. You might even ask them to upload their latest super and insurance statement or sign an Authority to Access Information form so you can get the details.

There’s a lot of steps involved in that process… if you’re doing it manually.

• Email the prospect a Welcome Pack with information about you and your business, including a link to your FSG
• Update the FSG fields in Xplan to capture the date provided, version number and method of delivery for compliance
• Create the client portal access - the system then automatically sends the client the portal web address and user name while securely sending a SMS with their initial password
• Set the clients’ access level for secure messaging only
• Unlock the portal fact find and set the fact find type to Onboarding

Yes, that’s right, finding the right fields in Advanced Searches is now simpler and faster. Just start typing part of a field name and instantly see matching results to select from - no more trying to remember the field name or prefix, no more scrolling endlessly, hoping the right field will jump out at you!

This improvement was driven directly by client feedback, which stated that locating fields without knowing their exact prefix was difficult and time-consuming.

The new type‑ahead field search is available wherever Search Criteria is used.

💡 Predictive search is now also available in the Xplan Syntax tool within the Email and Document Note editors, helping you work more efficiently.

Yep, you all loved H for Help so much that we went ahead and introduced L for Learning.

You saw " H for Help " and asked, “Why not have a similar feature to direct the users to the Iress Learning Centre?” We listened!

This feature lets you highlight text on your current page and hold the L key (for 3 seconds) to take you directly to the Iress Learning Centre search results page. The highlighted text is automatically populated in the search bar, facilitating immediate access to relevant available topics.

Ever looked at your Xplan menu or page and scrolled up and down looking for the exact item?  Would an image help?

As you can see I have added an emoji to Key Details (menu), Main (page) and Title (field).

Emojis are part of the Unicode standard, just like regular letters and numbers. If your computer's operating system or browser supports them, they will display correctly.

To add an emoji:

1. Go to Admin > Interface > Interface
2. Select which menu/page/field you want to add the emoji to
3. Select the "title"

4. Open the emoji keyboard

   • Windows: Press Windows key + . (period)
   • Mac: Press Control + Command + Space
5.  Insert the desired emoji directly into the text field

Yep, you’ve been asking for a while and we have delivered - with the right capabilities, you can now delete managed field content created by another user. And you can edit the name of saved content without it creating a new item!

You’ll need the capability “User Settings - Administer Manage Field Content” but then you’re good to go.

 This small but mighty enhancement will make it so much easier to manage content when someone leaves a practice, gets promoted into a new role, or you just want to do a clean-up.

What is Search Syntax?

Search syntax allows you to write logical search queries directly using Xplan’s internal field references. This unlocks additional fields that aren't always available via the standard Advanced Search screen—think adviser roles, contact fields, and even partner data.

The general format looks like this:

Syntax search is case-sensitive—double-check spelling!

We still hear (to our collective horror) about users moving file notes between entities by copying and pasting. But there’s a much quicker way!

In the file note’s ‘Related’ tab, just click on the Add button to add other entities, and use the chain link button to link/unlink the note from any entity.

Are you all too familiar with opening attachment after attachment with the default ‘reportout-5583-4567’ generic filename when trying to locate a specific document?

If so, then you are doing things the hard way.  

By adding a simple line of code to your template you can control the file name that merges from Xplan.

Why?

• Get the information you want to see on your client list search page.
• Generate a report of this information into either PDF or CSV for easy reference.
• No more need to create and generate an Xport report or run an export to get this information out all in one place - there are now less clicks involved.

How?

1. Click the preferences icon from the top corner of your client list result and select the “temp table config” option;
2. Tick or untick what you want to see in the results list;
3. Select Save Current Config and Save….you’re all done.

As easy as that. If you can't find something that you want to see, this may need to be added at a system settings level, so check with your site administrator first.

To run your report, click either the PDF or the CSV button.
