Is there a bulk way to remove account numbers 'Portfolio Account Name' from data feeds - into IPS

Due to Cyber Security policies I am looking for a bulk way to remove account numbers that are populated in 'Portfolio Account Name' from datafeeds which feeds into IPS portfolio and subsequently into portfolio reports. As I cant have account numbers go to clients in emails unless documents are password protected with unique 12 password (that needs to be delivered by text or phone call). I am look to remove them altogether (or at least a version of the number that can't identify the account).

As I send automatic emails each quarter the above password process isn't possible.

In particular need help with "North" datafeeds. Which populates 'Portfolio Account Names' as 'Y30000000 (AMP North) - MyNorth Super'. Not sure if there is a way to change the naming convention in bulk. CSV down load, bulk change then reupload in some way!

Any suggestion other than individually amending 400+ clients respective accounts datafeeds names via the 'cash & accounts' would be greatly appreciated.

Hi Clinton, great question. It is definitly possible to update 400+ clients without manual entry.

Xplan has a Bulk Update/Upload feature that allows you to export the current data, modify the "Portfolio Account Name" and re-import the changes.

This functionality is only available by request, so if you don't see the menu options mentioned below, contact your site administrator first and then raise a request via IressConnect to have this turned on for your site.

• The Process: Export your current account list to a CSV, use "Find and Replace" or formulas to mask the numbers, and upload the file back into the system to override the datafeed defaults.
• Best Practice for Naming: Instead of deleting the number entirely, consider partial masking (e.g., XXXXX000 (AMP North) - MyNorth Super). This ensures that if a client holds multiple North accounts, they can still distinguish between them on their reports.

An alternative to emailing sensitve data would be to use a secure Client Portal.

• Security: This bypasses the need for email encryption policies because the data never "leaves" the secure environment via an unencrypted channel.
• Efficiency: Clients log in to view their reports directly, eliminating the need to send 400+ individual attachments each quarter.

Note: When masking numbers, ensure you keep enough unique digits (usually the last 3 or 4) so that internal reconciliation remains possible and clients aren't confused by identical account names.
